Therefore, before starting any project, I will first prepare a proper plan that explains the purpose of the project, the expected outcomes, the required resources, the timeline, and the possible risks. Planning allows the organization to move in the right direction and reduces the chances of confusion or failure.
Planning is also important because it helps managers consider critical contingencies that might hinder the performance of the project. These contingencies may include economic conditions, shortage of resources, lack of skilled staff, delays in communication, technological issues, or problems related to other stakeholders. A leader must encourage employees by recognizing their contributions, supporting their development, and helping them understand how their work contributes to the overall success of the project. Leadership also builds trust between management and employees. When team members trust their leader, they are more likely to cooperate, share ideas, and work toward common goals. Therefore, leading is not only about giving orders; it is about influencing people in a positive way so that they willingly contribute to the success of the organization.
The final function of the POLC framework is controlling. Controlling means monitoring performance, comparing actual results with planned standards, and taking corrective action when necessary. After a project has been planned, organized, and led, it is important to check whether the work is being completed according to the required standards. This step helps ensure that the organization does not move away from its goals. Without proper control, mistakes may continue unnoticed, resources may be wasted, and the project may fail to meet expectations.
I will make sure that performance standards are up to the mark and that they are being appropriately met. If one function is missing, the entire management process may become weak. For example, without planning, the organization may not know what it wants to achieve. Without organizing, people may not know their roles. Without leading, employees may not feel motivated. Without controlling, the organization may not know whether it is achieving its goals.
Thus, these four activities are critical for the success of any project or organization. By following the POLC framework, managers can improve coordination, reduce confusion, motivate employees, and maintain better control over performance.
