For example, an author writes a piece of paper while another review it to deliver feedback. The revision according to feedback will polish the given work. Meanwhile critical feedback is the key component and the text claims because it improves the performance manifold. In this context, a collaborator must adorn himself with various imperative skills including relevancy, the balance of opinion, vigorous suggestions, emotional motivation, fulfilling commitment, avoiding personal commenting, etc.

Primarily, a successful collaboration may have three criteria. The first one is successful outcomes where team members know their goals before the start of the project. It is pertinent that goals must be aligned with available resources. The second criterion is growth in team ability. Learning and timely adapting modern capabilities are mandatory for successful collaboration. However, the third criterion is a satisfactory and meaningful experience. Every member’s contribution must be recognized and appreciated to boost the efficiency of work. Meanwhile, all these criteria differ from the viewpoint of students or professional team members. Concerning outcomes, students may focus on acquiring good grades while professionals have the main concern of successfully accomplishing the task. In addition, growth in capabilities and satisfaction are short breathing for students but for professionals, these have immense space to move forward.

The four primary purposes of collaboration may include; becoming informed by means of conversation, making decisions at all levels, i.e. managerial, operational, or strategic, solving problems according to the proposed planning and actions, and finally, management of undergone project in all phases. These purposes have strong relationships with each other for successful collaboration to achieve the said goals. In the absence of any one of these, the project may remain incomplete or unfruitful. However, there are serval ways by which collaboration systems can back each of these purposes. For example, using various tools, making lists, highlighting deadlines, giving feedback, and exchanging information.

Several requirements are mandatory for the collaboration information system. The most significant five components in this regard may comprise hardware, software, data, procedures, and people. Meanwhile, procedures are primarily the policies, strategies, or standards formulated by the team. While people are teammates to know all the information about the running project. Further, the primary requirements for a collaboration information system have the main purpose of communicating the necessary information, managing the tasks, building team spirit, and supporting team members. In addition, there is an immense need for iteration and feedback in alliance with three criteria for the successful completion of the project.

Communication among team members is immensely significant for executing the plans. It provides an opportunity for efficient conversation to know the answers to the questions related to the project. While communication may be synchronous and asynchronous in this regard. Synchronous communication is in-person comprising of a virtual or physical world like office meetings, presentations, phone calls, text chatting, webinars, or video conferences. However, Asynchronous communication may take place anytime like email, surveys, and discussion forums, etc. for synchronous communication, screen sharing and conference calls are helpful while in the case of face-to-face meetings, video conferencing, and webinars are helpful tools. It is pertinent to mention that video conferencing and webinars are useful for virtual synchronous meetings. Contrary to these, various surveys and audio or video recordings are significant tools for virtual, asynchronous meetings.

There are some alternatives to processing office documents over the net. These may include Camtasia for sharing videos, Adobe Acrobat, Google SketchUp for drawing purposes, and Photoshop for sharing photos. The ways to share data and content may include e-mail with attachments and sharing files on the server. An E-mail with attachments has the problem of opening, editing, and sending back to primary resources. While sharing content may allow any member to interfere with data to whom it is not concerned. However, Version Management has a specialized function to progress the work while Version Control is a specialized tool to limit activities like checkout, permissions, and passwords, etc. Meanwhile, check-in and check-out works are handy tools that allow users to check out documents before any modification. Meanwhile, collaboration tools also give workflow control. This helps to assess and arrange the documents in a sequence by marking check triggers on emails.

Q2-7 How can you use collaboration tools to manage tasks?

Managing tasks is very vital to evaluate the team’s progress. In this way, the team leader may take follow-ups to make everyone accountable for their responsibilities in the team. Any type of project work that needs to be accomplished in the given framework of time by any team member is considered a task. The minimal content of the task list may include the due date for completion, the current status of the task, and the requirements for completion of the task. However, for managing tasks, spreadsheets and Microsoft SharePoint can be used. SharePoint has advantages over spreadsheets as the former provides alerts, to-do lists, and many other features.

Q2-8 Which collaboration IS is right for your team?

Collaboration tool sets include Minimal sets, Good sets, and Comprehensive sets. Minimal set like email meets the least amount of necessary tools, while the Good set is sophisticated like documents, spreadsheets, and presentations. Similarly, a Comprehensive set comprises the most advanced and efficient tools like office 365. The difference among these tools lies in accordance with their efficiency and effectiveness according to usage and requirement during the execution of tasks. However, according to my viewpoint, the Good set is suitable for my team. Meanwhile, the power curve is the graph used to elaborate the relationship between power and time for evaluating efficiency. The Minimal set provides some power at zero time while the Good set shows flat spots which means power increases with time. But the Comprehensive set has a long flat post at the beginning which indicates limitless power and potency for efficient productivity.

Free data storage and data communication have revolutionized the business domain by making collaboration systems cheap and easy. However, face-to-face meetings have been diminished. It is also a fact that F2F meetings are time-wasting and expensive because of high traveling costs, refreshment scenarios, and the engagement of multiple employees for physical movement. In addition, F2F meetings like training sessions may become ineffective because high officials distract from the main objectives during meetings. Contrary to that, a collaboration system lessens difficulties, reduces costs, and saves time. For example, the business meeting of a USA delegation with a company in its Asian headquarters may take weeks, with huge costs and distractions, but the communication system can resolve the issue in a few hours at a very cheap cost, and focus on the agenda may reach to the realm. So, collaborating systems are continuously changing the business world. On the other hand, this system has squeezed the travel industry that has limited it to only recreational purposes. As for as my opinion is concerned, I agree with 2026 predicting the usage of a collaborative system in high magnitude. The system has much potential to expand around the globe as it is witnessed during the pandemic where global shifting in technology has last impeccable marks on the business world.
