Introduction
With the current changes in the market and every industry, companies need to develop techniques that would aid in managing these changes. The prevailing changes are key factors that determine the success and failure of the organization. Generally, change management refers to the process that guides the organizational change to completion, from the foundation to the maturity and execution stages. Change management entails redefining the company goals and objectives, budget and resource reallocation, or other modes of operations that significantly impact the company’s success (Pinto,2007). In the organization’s context, change management considers the organization as a whole and what needs to change; in contrast, it may solely refer to the effect of the change in the organization and how it is managed. Change management has become a center of contemporary project management in practice. For change to occur, there must be reasons behind it, and it is subject to problems such as fear of change, uncertainty, ambiguity, and complexity to achieve it. Companies need to develop strategic tools that would aid in managing change. In modern project management, excellent change management is essential to project success. Examples from academic and professional literature will support this claim. Additionally, it will discuss change management practices at the portfolio, program, and project levels; evaluate how effective organizations deal with uncertainty, complexity, and ambiguity to enhance results; and critically discuss effectivization.
Background and Rationale
Cloud Work Inc. is a software development company that deals with the development and advancement of software, and it mainly focuses on producing cloud-based solutions for all enterprises, regardless of their sizes. The company was founded in 2015; it has gained a competitive edge in the industry by providing innovative solutions that help companies optimize their operations, enhance efficiency and effectiveness, and increase productivity. The company’s mission is to deliver high-level and world-class cloud computing solutions that help enterprises to cost, increase efficiency and productivity and optimize their operations. Cloud Inc. works hard to build enduring relationships with our customers, business partners, and employees based on respect, trust, and honesty. Cloud Works Inc, centered on clouding services, keeps up with the technology to remain competitive and provide companies with the best clouding services. However, with the need for remote work and collaboration, the company intends to implement a new cloud-based project management software system with enhanced features and functionalities for the project teams.
The rationale behind implementing cloud-based project management software is to meet the demands of the rapidly changing business landscape. The World is increasing as a result of globalization, remote work, and complex project; there is a need to introduce a comprehensive cloud-based project management system that has become increasingly essential. The software would help increase collaboration in the organization, allowing the project to collaborate in real-time regardless of their geographical areas and update project data anytime. Thus, this is vital for the project team that works in remote areas and cannot have face-to-face meetings.
Cloud Works, Inc. streamlines team collaboration by streamlining communication, document sharing, and collaboration tools. This method streamlines our teamwork and helps us achieve our objectives with ease.
Additionally, implementing this software enhances scalability and flexibility in project management; hence it can help enterprises adapt to industry changes. Cloud Works Inc’s flexible workflow configurations and third-party app connections make it possible to modify the software to meet the specific requirements of businesses of any size and complexity. Hence the team can adapt as they grow bigger. In addition, the cloud-based software would have automatic upgrades and maintenance, which lightens the load on IT departments while keeping systems protected and up-to-date. Moreover, implementing this software would aid in improving and enhancing efficiency as it focuses on automating tasks assignment and scheduling and streamlines the project management system process hence reducing errors due to manual data entry. Allowing the project team access to the project data at anytime from anywhere helps the project team to easily respond to changes, making an informed and sound decision in real time.
Managing complexity, uncertainty, and ambiguity
Implementing cloud-based software in project management is subject to complexity, uncertainty, and ambiguity, which would determine the success or failure of the implementation process. Hence the organization needs to develop a proactive strategic tool that would aid in coping with this factor. The following are techniques in which the three factors would be solved.
Complexity
In general, complexity in change management refers to the difficulty in managing change due to human behaviors, system behaviors, and ambiguity. It is not directly proportional to project size. Cloud Work Inc. can navigate through complexity by enhancing good leadership in organizations (O’reilly). Good leadership would help Cloud Work Inc. navigate through project complexity by setting clear goals and managing risks related to the implementation of the software. During change execution, humans are often objective toward change, making it complex for the company to implement change. Hence the leaders should set the priorities right for the project team, which would help the team remain aligned and work towards achieving the set goals. Additionally, leaders identify ways in which risks would be managed by identifying risks and developing contingency plans to mitigate them would reduce the impact of unexpected events and keep the project on track.
Diligence research of the project before its execution helps navigate project complexity. Conducting depth research about the project, as resources required, risks involved, stakeholders involved, and risks and opportunities available, would help navigate through project complexity by understanding project requirements, building a strong project team, and developing a realistic project plan (Khan et al.,2018). Furthermore, effective communication aid in navigating through project complexity. Project managers must communicate well with clients, team members, and others. Hence this entails giving regular updates on the job, acknowledging issues, and keeping everyone informed and involved. Leaders may use better communication to build trust and align personnel.
Ambiguity and Uncertainty
Due to the difficulties that arise from stakeholders’ reluctance to commit to the project and the inherent unpredictability of the change management context, the project manager must identify methods that will guide the business successfully through the introduction of the new cloud-based project management software. Clear and frequent communication would help in reducing ambiguity (Project Management Institute,2021). Stakeholders are key factors that determine the success or failure of the project, so providing them with clear information about the implementation of the cloud-based project management software. Material facts would help them understand it and its impacts, thus reducing ambiguity. A clear change management plan would aid in reducing ambiguity in change execution. Stakeholders can reduce uncertainty by following a clear change management plan. This includes prioritizing tasks, assigning responsibilities, and setting deadlines. A detailed change management plan helps stakeholders understand what, who, and when has to be done hence reducing ambiguity and uncertainty.
Navigating through uncertainty in implementing the cloud-based project management software calls for the company to stay informed about the latest development and trends where the company intends to make changes (Khan et al.,2018). Staying informed entails monitoring new sources, the latest information, and trend in cloud-based software development, anticipating changes, and laying techniques for coping with them. Additionally, being flexible would help in navigating through uncertainty. The established techniques to execute change are subject to changes; hence it is essential to remain flexible and adaptable, which includes being open to ideas and approaches that would implement and modify during change execution. In precarious circumstances, we are frequently unable to regulate numerous variables (Khan et al.,2018). Focusing on things that can be controlled, such as one’s actions and perspectives, is crucial. This includes maintaining a positive attitude, concentrating on one’s goals, and proactively addressing potential obstacles or issues.
Change Management Practice at Portfolio, Program, and Project Levels
Organizational workers work across three levels—the project, portfolio, and program—to ensure the project’s success in the context of change management as part of project management. Project level refers to how organizations manage individual projects designed to achieve specific objectives within a defined timeframe and budget (Bushuyev & Verenych,2018). To generate the desired outcome while simultaneously managing risks, restricting scope, and reducing expenditures, the management of a project comprises planning, carrying out, monitoring, and regulating the project, helping produce the desired results. In comparison, a project portfolio is managed and optimized for an organization’s financial and strategic goals. Project portfolios are often called project backlogs. Functional or organizational portfolio management is optimal. Program management aims to align programs with organizational goals and enhance their effectiveness. Managers of such programs oversee and coordinate the many strategic initiatives and projects their organizations undertake.
Managing change at the portfolio level
Project Management Institute (2021) argues that the main goal of portfolio-level change management is to ensure that the changes being made across the portfolio align with the organization’s strategic objectives. Improving coordination, communication, and collaboration at the portfolio level requires all parties to participate in keeping up their game. Managing multiple projects simultaneously is called “portfolio level,” a never-ending process (Kerzner,2018). It calls for defining, aligning, and authorization/control of the group’s access to effectively manage the portfolio level in change. In defining stage, the project manager establishes and lays a framework and a process to help manage the changes within the portfolio. The project identifies anticipated changes, defines the role and duties of every stakeholder involved, and establishes techniques to assess the impact and feasibility of the change to be implemented.
In the alignment stage, the project manager’s project and portfolios align well with the organization’s goals and objectives, which entails reviewing and evaluating the portfolio and making the necessary adjustments. For change implementation to be successful, it is vital to ensure that the project stakeholder is involved in the decision-making process; hence, reducing resistance to change hence controlling the access group is essential. Controlling the access group entails defining the stakeholders participating in the decision-making process and enhancing the right control to avoid unauthorized access. During implementation, a change management board can evaluate and approve proposed changes to a cloud-based project management software system. This board would approve software system changes. The board can comprise IT, project management, and business division members to ensure that modifications match the organization’s strategic goals (Kerzner,2018). Hence this ensures that adjustments match the company’s strategic goals. In addition to risk management, the board would evaluate the effects and feasibility of proposed changes.
Managing change at the program level
Cloud Works Inc will employ agility, flexibility, strong sponsorship, align its system with the change initiatives and provide a focus for change initiatives to manage change at project levels. Adopting the agility strategy in project management would help the project team easily adapt to the change they may face during the implementation of the new software and make essential work plans and schedules as per requirements (Cameron& Green,2019). Hence the project team would be able to manage uncertainty and complexity by allowing them to pay attention to delivering value and results rather than focusing on the rigid initial plan they had. Secondly, embracing a flexible approach would help Cloud Work Inc to manage change at the project level as the approach would accommodate changes in scope and schedule. By creating an adaptable framework, the team may adjust their plans and priorities to changing priorities and conditions, keeping the project on schedule.
Additionally, providing a focus for change initiatives would help manage change at project level as it would help the project team to make priorities right and focus toward achieving a common vision by aligning changes related to the project goals and objectives. As a result, it aids in making the clarification of expectations and making sure everyone on the project team is pulling in the same direction. It is also crucial that the system supports the transformation plan. Hence this necessitates linking the new software system to the company’s and the project’s aims. System alignment will allow the team to incorporate the new software system with the organization’s existing systems and processes, thus making the transition easy. Successful project completion requires strong sponsorship. The group will be able to get the resources and support they need to achieve its goals if they prioritize top executive involvement and dedication. Because active senior executives are more inclined to commit to a project, this approach eliminates uncertainty and gives the project team direction.
Change management at program level
At the program level, transition entails a system-level view of the change, in which all elements interact in real time to generate new networks and patterns within the organization. Cloud Work Inc can management the program level through iterative management approach which focuses on breaking down the implementation process into small and manageable stages with each having it is own goals (Cameron& Green,2019). The iterative framework would the project team at Cloud Work Inc to test and evaluate the software system incrementally, determine and evaluate issues that are linked to system implementation, hence making necessary changes. Iterative management helps Cloud Works Inc. reduce uncertainty and complexity. Focusing on one component of the change at a time, providing input, and changing the implementation strategy based on facts and feedback.
Additionally, Cloud Work Inc may consider managing change through need gathering and assessing information. Sensemaking helps Cloud Works Inc. find patterns, correlations, and trends that may affect implementation. Data from stakeholders, project team members, customer satisfaction surveys, and performance indicators helps Cloud Works Inc. understand the change’s impact and make implementation decisions. Moreover, measuring of benefits includes assessing a project’s results and benefits. If Cloud Works Inc. measures benefits realization, they can assess the implementation’s efficacy and identify areas for improvement. Analyzing the software system’s impact on project results like productivity, quality, and target audience satisfaction could help realize the benefits. Cloud Works Inc. quantifies the change’s benefits to show its value and gain support for future change projects.
Potential Threats and Opportunities of Cloud Work Inc. Sustainable Project Management Practice
Potential threat
With the current technological advancement and the industry in which Cloud Work Inc operates in the company is subject to cybersecurity threats, dependence on the third party and lack of control over software updates (Bello et al.,2021). The risk of data breaches and cyber-attacks is increased when using cloud-based project management software systems to store sensitive data and information. An infiltrated project management system by cybercriminals may lead to reputational harm, legal obligations, and financial losses. Because it depends on external sources’ services to update and maintain their system, cloud-based project management software may also have this drawback (Bello et al.,2021). If the service provision encounters technical problems or stops its operations, disruptions to the project management system may impact the project’s results. Additionally, cloud-based project management software systems’ automatic updates and upgrades frequently cause incompatibility problems and workflow disruptions. If the software upgrade does not work well with other project management tools or systems, delays, errors, or inefficiencies can arise.
