Lesson Learn From The Project

Introduction

The project implementation was done in phases. It started with a stakeholder meeting, where objectives and targets were set. The community opinion was then gathered and analyzed to make sure the project had the support of the local community. This was to ensure that the integration of the project and the community occurred so that it became more inclusive and self-driven for the company and the community to own the process, which is key to the success of a project. The project was implemented in phases to make sure that at every phase of the project, an appropriate analysis is conducted so that each phase of the project is completed and any issue is solved before moving to another phase. The cooperation of the team and the organization facilitated a smooth workflow, which made it possible for the team to complete the project on the team. The level of cooperation between the team and the community was very satisfactory, though there was some little problem with the owners in drafting the plan, which was later sorted out, and then the implementation of the project proceeded without any problem. The misunderstanding between stakeholders was addressed through consultation and meetings to draw a single plan, and I would do the same if such misunderstanding occurs in the future, though it would involve consultative meetings which even the local community would attend because the project intended to affect them as well (Hanks, 2015, p. 13).

Portfolio Work

Throughout the project implementation, project teams were involved in addressing various aspects of the project, which made the project implementation successful. However, the project provided knowledge on how to integrate project management and management. It allows learning about time management and project execution and also improves my understanding of project research and analysis. It is also important to note that the project offered an opportunity to improve my interpersonal relationships since I interacted several times with the community and with project members to make sure that the project was completed as scheduled. Most importantly, I have become an expert in forming stakeholders such as the board of management, community representatives, and a team that can help an organization complete a project.

Evidence Of Collaborative Practice

In order to complete the project within the timeframe provided, the group members worked together to put together detailed information that could facilitate the completion of the project. First, the team met to draw up the plan, including the community and project team collaboration. As stated by Wilkins, John, and David (2015,p. 35), in project implementation, a project should reflect the perspective of a community, and therefore, the ethical, social, and emotional issues must also be addressed. The project was drawn to reflect the aspirations of stakeholders, each project team member were assigned specific assignment. Throughout the project implementation, values and ethical issues were observed by all team members. The group members also met to come up with objectives, elect a project manager and assign duties to be completed. Throughout the project process, members met to review the process and analyze certain shortcomings (Wilkins, John, & David, 2015, p. 40). However, we identified areas of interfaces at the site which needed to be captured. The project team worked together with the community to develop the project timeframe, working terms and conditions.

Nevertheless, to identify the impact of the project, members developed forms where the community can provide feedback on the project’s impact. The project team and other stakeholders were allowed to work together to draw the design, project timeframe, and achievable objectives. This allowed the group to interact and gain knowledge before the commencement of the project, which helped in developing understanding between individual members.

Statement Of The Problem

The crucial aspect of the project is to create a linkage between the owner and the supplier to make sure that there is a steady flow or integration of customers and the owner so that an organization can assess and monitor the supply chain of products. It is difficult for a corporation to monitor the products beyond the supplier, and the link between customers and producers usually ends at the supplier level. It makes it difficult for companies to collect data, which can allow a company to improve service delivery and, hence, improve performance in the market. Moreover, the key research questions that need to be addressed are: “What type of structure of the project would give an appropriate outcome?” and “What would be the result of the project for the supplier, customers, and the owner?”

The project’s intention was to create a linkage or to integrate customers, owners, and suppliers so that there is a steady flow of products and monitoring as well, which is a crucial aspect in the improvement of service. However, the project has been implemented, and it is almost done, but there are lapses in the understanding of the integration of data from customers so that the owner (corporation) can obtain these data for market analysis. The contentious is whether data from clients or customers should be linked directly to owner systems or through suppliers. The system also registers log errors, which causes slow system performance. It is, therefore, evident that the main problem is the complex setting of the system and the company.

In order to address the problem, the stakeholders, which are the company’s board of management and the supplier, must agree on the modality of integration to make sure that the data gathered can be channelled to a specific place or server without further integration of these data which can result to violation of customers’ privacy. The project intends to register success when it is completed. We expect the end users, who are the clients, to be integrated with suppliers, other companies and the project owner. However, the problem identified is significant because it helped in addressing crucial issues in the system relationship, which is between the owner, end users and supplier and solves them so that data flow or the communication between the end users and the owner can be efficient. It helped the project team diagnose system problems and issues that could make the system fail and solve them so that the project could operate efficiently. According to Baiden and Andrew (2017, p. 25), early identification of the problem when the project is being implemented is meant to strengthen the implementation process and to make sure that any system issues or future failures are addressed.

First, the system failure realized from the system due to an error login is due to a lack of proper structure and programming data, and this can be due to technician error. It could have been avoided by having stakeholders meet to draw an agreement on how integration is being implemented. This would have ensured that the system problem was addressed earlier (Baiden & Andrew, 2017, p. 14). It is, therefore, important to make a complete design addressing all pertinent issues to avoid any further failure. The other problem is caused by administration failure or the company since the management and the supplier took much time to agree on the data flow. It would be good to have prior communication to understand the integration phases or stages to avoid lapses.

Project Improvement

Project improvement is conducted so that the usability of a project can be enhanced, increasing the efficiency and security of a project and also limiting the number of project failures (IAEA-TECDOC-1491, 2014). Therefore, the project can be improved by improving the user interface to become users’ friendly and making the data flow efficiently by linking the end users and the owner. Improving the interface will make it easy for everyone, no matter the knowledge of the system, to use the interface proficiently. Based on the report from the system registering error log and other earlier failures, it is essential to improve the project in phases. This is because, at every phase, an appropriate analysis or diagnosis should be made to avoid further problems simultaneously. It would also be appropriate to make sure that the

The decision to consult all stakeholders involved in the project before introducing any changes is the best decision since it would help in avoiding complaints or other management issues, which could be from the owners and users as well. It is also likely to allow the stakeholders to have a look at the system’s performance as they implement certain improvements which can make the project efficient. As stated by Majeed (2012, p.9), address the gap which exists in the project and what it desires to achieve. It is done to ensure that the project is able to achieve its desired objectives. Therefore, the integration of End users, suppliers and owners was meant to improve coordination, and therefore, the improvement intends to make sure that set objectives are achieved (Majeed, 2012, P. 10). This will improve the coordination and the flow of data through to the owner which is crucial for data analysis which can help the organization to improve performance.

However, in order to make improvements to the project, I would analyze the feedback to understand the issues most clients are raising since the interface is a crucial issue which most clients are raising. First, I will initiate an analysis of the end user’s interface and use the feedback to improve it so that it can be more user-friendly. It has emerged that the project integration is an issue which also requires attention, and therefore, it can be improved through the involvement of team members in the analysis of the data collected from the customers and making sure that said data matches to avoid registering failure. With this implementation, it would be impossible for the project to fail once it has been commenced. It emerged from the situation that the integral process of the supply chain and the end user require proper design and good working relationship with all stakeholders since, if customers, end users, had been more involved from the planning stage of the project, certain loopholes would have been sealed, and the improvement to the project would have been less.

It is, therefore, important to have a clear plan, design, and serious consultative meetings prior to making sure that the entire project goals and aspirations of customers are met at the first installation. It will reduce cases of improvement and failures, which can result in several improvements being made by an organization or project team, so it will be user-friendly.

Limitation

The entire project was completed within the timeframe, though improvement and failure-related issues were handled later. The major limitation in the implementation of the project is the collection of data to be used in the project. It was difficult to collect data since it required the team to identify end users or customers and conduct surveys or questionnaires to understand their perspectives, and therefore, it took much more time than expected. Time is another issue that makes the implementation of the project very cumbersome (Jakob & Malte, 2017, p. 28). It is noted that the time provided for the project was not enough for completion, and the allocation of time was now effective as well.

In order to complete the project, the team had to fathom certain cultural issues, and cultural misunderstanding was another issue that delayed the effective implementation of the problem. It took the team manager together with the owner so that it could establish a culture system that can be used universally at work to make sure that the system is effective in its operations. Jakob and Malte (2017, p. 59) state that most organizations have a culture of operation and any culture change would be rejected by employees and other stakeholders who would want to keep the status quo.

Recommendation

It is recommended that the project should have an assigned support team or a person to monitor the operation of the project for the next year. It will ensure that any system failure is addressed quickly and appropriately so that the project can remain operational without any breakdown. The assigned support assistant should be able to work with the owner, supplier, and customers and ensure that areas where problems are addressed are addressed. Most importantly, the implementation of the project took different angles, and several stakeholders were consulted, but failures were still realized, and improvements were made to avoid such situations in future project implementation. The owner or operator should be able to decide on the flow of data when the system is being integrated. The responsibility of the project team should be to carry out the agreed mandate but not consult the supplier on the model of the flow of data. The owner allows the supplier to discuss things with the project team and is also in charge of the process. Project improvement should also be part of the design so that when a project is completed, the team sits down and views the system, especially on areas that need improvement.

In order to address the issue of time allocation since the time was not enough to complete the project, the project team must work around the clock to complete the project within the given time. It is therefore, recommended that each project member be allocated tasks which should be completed a specific time to address time management problem among the team members. This will ensure that a daily report on the progress of the project is provided to allow the project and stakeholders to review the progress and address any undercuts that can arise.

However, if I am given a chance, I will implement the recommended details to ensure that future projects are more successful and that the project is handed over on time (Baars, 2016, p. 29). First, I will start implementing time management and allocating tasks. This will require every project team member to report on the progress so that members can iron out issues which might derail the project’s success. According to Baars (2016, p. 38), time management is important to the success of the project, and any delay can paralyze the project and cause the team to not honour the time agreed upon with the project owner. This will include having a lean team on the site working on specific tasks.

This is to ensure that future projects do not face similar issues, such as data integration flow from the end user to the owner. It would be advisable to make sure that the project team avail forms with various questions to be answered, which allow the team to understand the goal of the project owner, and this is likely to include the model of data flow and the team which shall work together with the project team towards the success of the integration of the system.
