Subject: Invitation to the informal meeting regarding the participation in Relay for Life
Dear all,
I hope you are doing great!
As you might know, each year, our company sends a team to the American Cancer Society for its Relay for Life events to participate in fundraising campaigns for cancer patients that directly support breakthrough research and access to lifesaving screenings. This year, our company is also determined to actively contribute to the community through Relay for Life. Therefore, considering the importance and effectiveness of this participation, I, as a team coordinator, invite all of you to an informal meeting scheduled at the end of this week to discuss it in detail.
Although the agenda of the meeting is to briefly discuss the event details, timelines, and primary activities that it involves, I suggest having a Q&A session at the end of the meeting as well. As some of you will already be determined to join the company’s volunteering team this year, some may need additional information to decide about their participation. Therefore, in this Q&A session, I will best try to answer the questions that you may have in any regard.
Having said that, I am very excited to meet you all there at … on … to discuss the event details and formulate our team strategies for successful participation in Relay for Life. However, it is also worth mentioning that it would be a great opportunity for us to meet with the representatives of many other organizations and learn about their efforts towards community development.
